ARTICLE 5: SERVICE BOOKING AND CONFIRMATION


To utilise any of our services, you must first contact us via email, social media links or telephone. During the booking process, you will need to provide certain information, including but not limited to, the type of service required, the estimated time for completion, and any specific instructions or requirements related to the service.


Once a booking is made, it will be subject to our review and approval. Upon approval, you will receive a booking confirmation via email, containing details of the booking, including the date, time, estimated cost based on the provided information, and other relevant details.


Please note that until you receive a booking confirmation, your booking is considered provisional and is not confirmed. It's advisable to review the booking confirmation carefully and inform us immediately in case of any discrepancies or changes needed.



ARTICLE 6: DAY AND HOURLY RATES


Our standard day rate is £XXX, and the hourly rate is £XX, with a minimum charge for one hour. These rates are subject to change, and we reserve the right to modify them at any time. Changes will not affect any bookings already confirmed at the time of the change.


The day rate is applicable for full-day bookings, whereas the hourly rate applies to services booked by the hour. Please note that the final cost may vary depending on the actual time spent and materials used. Any additional costs will be communicated to you before being incurred.



ARTICLE 7: CALL OUT FEE


A call-out fee of £XX is applicable under certain circumstances. This includes bookings made with less than 48 hours' notice, which require immediate attention and may disrupt our schedule. Commercial bookings, irrespective of the timescales, will also incur a call-out fee due to the complex nature of commercial tasks and the resources that might be required for such tasks. This fee is meant to cover the extra effort and resources involved in accommodating such bookings.



ARTICLE 8: CANCELLATION POLICY


We understand that circumstances can change, leading to a need to cancel a booking. However, to maintain our service quality and manage our resources effectively, we have a cancellation policy in place.


For any booking cancellation with less than 48 hours' notice, there's a cancellation charge. The specifics of this charge depend on the nature of the job that was booked.


For one-off jobs, if cancelled less than a day before, a £XX cancellation charge applies. If cancelled less than 2 days before, the charge will be £XX. If the job is rebooked within 30 days, these charges can be deducted from the final invoice.


For pre-booked jobs requiring more than 2 days' work, if cancelled with less than 48 hours' notice, a cancellation fee of XX% of the estimated costs is to be paid.


We highly recommend that you inform us as soon as possible about any changes in your schedule that may affect the booking to avoid or minimise these charges. Your understanding and cooperation in this matter are greatly appreciated.



ARTICLE 9: COMMERCIAL BOOKINGS


Commercial bookings refer to services requested by businesses or for commercial premises. Due to the typically larger scale, complexity, and requirement for additional resources, all commercial bookings incur a £XX call-out fee irrespective of timescales booked.


We offer a wide range of services suitable for commercial clients, the specific details, including scope of work, estimated time, and cost, will be confirmed at the time of booking.



ARTICLE 10: PRE-BOOKING AND UPFRONT PAYMENTS


For bookings that span over five days, XX% of the quoted price must be paid upfront. This policy is to ensure the commitment from both parties and enable us to plan our resources effectively.


The upfront payment confirms your booking and helps us manage our schedule to provide you with the best possible service. This payment is part of the total cost of the service and will be subtracted from the final invoice.



ARTICLE 11: MATERIAL COSTS


If the cost of materials for a particular job exceeds £XXX, these costs will need to be paid in full before the commencement of the job. This policy allows us to ensure that all necessary materials are sourced promptly and work can proceed without delay.


The estimated material costs will be included in your quotation, but please note, actual costs may vary. In the case of a variation, we will communicate this to you as soon as possible.



ARTICLE 12: QUOTATIONS AND ESTIMATES


We provide quotations and estimates based on the information provided at the time of booking. Quotations and estimates are valid for 14 days, considering the volatile state of interest rates and the cost of materials.


Please note that these are estimates, and the actual costs may increase due to unforeseen circumstances, such as increased labour time or unexpected material cost increases. We reserve the right to increase the cost by up to XX% to accommodate for such unforeseen changes.


Any potential changes to the estimated cost will be communicated to you as early as possible before the work commences. We aim for transparency and will ensure that you are fully aware of the final cost before the service begins.



ARTICLE 13: VALIDITY OF QUOTES


All quotations provided by CNB’s Cleaning Services Ltd are valid for 14 days from the date of issuance. This period is subject to the highly volatile state of interest rates and the cost of materials. If services are not booked within this period, a new quotation will be required.


The quote you receive is a good faith estimate based on the information you provide during the booking process. If additional services or materials are required after the work commences, or if there are any other unforeseen circumstances, it may affect the final cost.



ARTICLE 14: UNFORESEEN COSTS


We aim to provide accurate quotes based on the information provided at the time of booking. However, there may be instances where unforeseen costs arise after work has commenced. These can include, but are not limited to, the need for additional materials, extended labour time, or unexpected difficulties related to the task.


We reserve the right to increase the cost by up to XX% to cover such unforeseen expenses. We value transparency and will ensure to inform you as soon as any such potential cost increases are identified. Any additional charges will only be incurred with your agreement.



ARTICLE 15: DISCOUNTS AND REWARDS


As part of our commitment to delivering value to our customers, CNB’s Cleaning Services Ltd offers a number of discounts and rewards. We believe in rewarding our loyal customers and those who help us grow through word-of-mouth referrals and online reviews.


(a) Social Media Review Discount

Customers who provide a 5-star review on a minimum of two different social media review sites are eligible for a X% discount on their next booking. This is our way of saying 'thank you' for taking the time to share your positive experiences with others. To claim this discount, please provide us with the links to your reviews when making your next booking.


(b) Loyal Client Discount

We appreciate and reward loyalty. Any client who books five separate jobs (not days) will be rewarded with a XX% discount on their sixth booking. The discount will be applied to the cheapest job within the six jobs that have been completed and deducted from the sixth invoice. This policy allows us to thank you for your ongoing business and trust in our services.

 

Both these discount schemes are designed to ensure that our valued customers feel appreciated for their support and loyalty to CNB’s Cleaning Services Ltd. It's our small way of giving back and expressing our gratitude for choosing our services. Please note that these discounts cannot be combined and are applicable as per the respective scheme's conditions.



ARTICLE 16: PAYMENT METHODS


We offer a variety of payment methods to ensure that our clients have flexibility and convenience. You can make payment for our services via bank transfer, credit/debit card payment, cheque, or cash.


Bank Transfer: For bank transfers, our bank account details will be provided on the invoice. When making the transfer, please include the invoice number as the payment reference to help us identify your payment promptly.


Credit/Debit Card Payments: Payments can be made by credit or debit card either in person (using our mobile card reader), or over the phone. We accept all major cards.


Cheque: Cheques should be made payable to 'CNB’s Cleaning Services Ltd' and sent to our business address. Please write the invoice number on the back of the cheque.


Cash: Cash payments can be made in person. Please request a receipt for your records.



ARTICLE 17: PROCESSING FEE FOR CERTAIN TRANSACTION METHODS


For certain transaction methods, an additional processing fee of XX% is charged. This includes credit/debit card transactions and cash payments. This fee is to cover the cost incurred from processing these types of transactions.


This fee is calculated based on the total invoice amount and will be added to your invoice. We strive to maintain transparency in all our financial dealings and all charges, including this processing fee, will be clearly detailed on your invoice.



ARTICLE 18: PAYMENT TERMS


Payment for services rendered should be made within XX days of the completion of the job. The due date will be clearly stated on your invoice. Please ensure that your payment reaches us by the due date to avoid any late payment fees or interruptions in future service.


In the case of services that require pre-booking and upfront payments, or where material costs exceed £XXX, these costs should be paid in full before the job commences. For jobs spanning over five days, XX% of the quoted price is required as an upfront payment.


Failure to make payment by the due date may result in a late payment fee and could affect your ability to book future services with us. If you are experiencing difficulties in making the payment, please contact us as soon as possible to discuss potential alternative arrangements.
